HTNG Seamless Third-Party Payment Data Integration Workgroup

Despite significant advancements in hospitality technology, third party payments continue to be inconsistent, inefficient, and operationally burdensome. Hotels frequently receive incomplete, inaccurate, or delayed payment and guest data from OTAs, GDS partners, and other intermediaries. This leads to manual verification at check in, longer processing times, increased financial risk, and a diminished guest experience. A standardized, reliable, and secure industry approach is required to ensure that accurate payment information is delivered to hotels prior to arrival, enabling a seamless and efficient guest journey.

This workgroup will design and document an industry wide standard for secure, digital third party payment handling. The solution will define the required data, authentication methods, and delivery timing necessary to eliminate manual verification at check in and reduce reliance on physical cards. Expected outputs include operational best practices, use cases and sample messages, and implementation guidelines that can be adopted globally by hotels, vendors, and distribution partners.

HTNG's Seamless Third-Party Payment Data Integration Workgroup will focus on:

Strategy: Establish a unified, hotel-centric framework for third-party payment processing by aligning industry stakeholders around standardized data requirements, secure authentication protocols, and pre-arrival data delivery. This strategy focuses on reducing friction in hotel operations, improving data integrity, and enabling interoperability across distribution channels, payment providers, and property systems.

Business Case: Standardizing third-party payment processes will reduce operational costs associated with manual verification, minimize payment fraud and chargebacks, and improve staff efficiency at the front desk. By ensuring accurate and timely payment data, hotels can accelerate check-in, enhance the guest experience, and strengthen trust across the ecosystem—ultimately driving higher guest satisfaction and improved financial performance.

Deployment Strategy: Deliver a phased implementation approach beginning with clearly defined best practices, followed by broad adoption through published guidelines, reference architectures, and vendor enablement. Success will be driven by cross-industry collaboration, measurable performance benchmarks, and scalable integration pathways that support global adoption across hotels, technology providers, and distribution platforms.
